OEC protects the privacy of citizens, so we’re careful about collecting Personally Identifiable Information (PII). PII includes (but isn’t limited to) a person’s:
- Full name, maiden name, mother’s maiden name, or alias
- Personal identification numbers (e.g., social security, passport, driver’s license, etc.)
- Street or email address
- Phone number
PII can even include seemingly general information like birthday, ZIP code, and gender, since they can be enough to identify someone.
OEC can securely collect PII in online forms as long as we:
- Have a clear process for granting WordPress admin privileges and tracking who has access
- Audit staff that have WordPress admin permissions every quarter
- Treat forms as intakes rather than long-term storage
- Delete form data as soon as information is collected
